About Our Events

Badges
You need a name badge to be admitted. Badges are ready for members and their guests on the reservation list who pay the door fee. Please pin your name badge on an outer garment at chest level. Return your badge to your host before you leave.

Seating
Members who are not on the reservation list MAY be seated after those who are on the list. The host is always in charge of seating. If you are not on the reservation list, and there is no room, you may not be seated even if you are a member.

Head Table
Hosts, invited guest speakers or entertainers, co-chairs, and spouses occupy a "head table". This is a reserved table. The head table is served first because they perform and manage while you dine.

Hosts
Please respect hosts. They are totally in charge and are very busy managing the event and tending to the invited guest(s). Most problems are created by a few who arrive late and demand special treatment. Some hosts may not be available just before an event. Plan accordingly.

Special Needs
Make sure your host(s) know if you have special medical devices such as a mobility device or breathing apparatus, or if you need special seating accomodations. We will do our best to provide for you if notified well in advance. If you have special dietary needs, call the restaurant a few days ahead to make your arrangements.

Event Cancellations and Changes
We will do our best to notify you by phone if you have a reservation and there is a last minute cancellation or change of venue. Make certain we have a current phone number (preferrably a cell) in case we need to contact you. Cancellations and changes are also prominently posted on this website. It's your responsibility to check before leaving for an event in case we are not able to notify you by other means.

No Events During July and August

There will be a two-month summer recess during July and August. The last event for the season will be on June 10.

Why a recess? First, not enough members signed up to host meetings. Secondly, meeting attendance in past summers have been low. If we need to cut, summer meetings are the best choice.

We now have enough hosts for 2012. We still need volunteers to run events January through November, 2013. If you want to help, Contact Us!

Thanks to those wonderful members who have done their part to make the BCVV a great club by hosting BCVV meetings and attending our events. This is your club. Please get involved!

Thanks to a Special BCVV Member

Special thanks to BCVV member, Greg Abbott, who goes out of his way to bring his PA system to our events so that everyone can hear our guest speaker. Greg not only lugs some heavy gear to our events, he also sets it up, then dismantles it and lugs it home after the event.

Some of you know that Greg has recently had major surgery and is getting physical therapy. We all wish him a total and speedy recovery.

About Our Events...(continued)

Reservation Cancellations
Always let your host know ASAP if you made a reservation and you or someone in your party won't be attending. Cancel using appropriate response methods stated in the invitation.

Door Fee
There is usually a small door fee (usually $2) payable when you get your badge. This fee helps pay for the invited guest's meal and meals for any colleague or a spouse. They order off the menu like we do, so we can't predict the cost.

Door Fee Reserve Account
Any door fees remaining after event expenses are put into a small cash reserve account controlled by the co-chairs. The cash reserve is used to make up the difference if an event overruns the budget. Any excess reserves are earmarked to fund goodies for our annual Holiday Party in December.

Gratuities
Your door fee does not include a tip. Don't forget to tip the server, especially if there is no gratuity added to your check. Leave more if the service was great or if you require more service than the typical patron.

Courtesy
Good venues that are willing to work with us are hard to find. Sometimes venue managers don't always provide all the servers we need for our group, so don't take your displeasure out on a server who may be overloaded. Always be courteous to the staff. We want the staff to welcome us back as valued patrons and we want to enjoy a good working relationship. If you have a complaint, let a co-chair know after the event and we'll discuss the issue with venue management.
